For parents and guardians
What your family needs to do before your Scout leaves for camp.
- When your unit registersGive your unit leader a parent or guardian email. Use the one you already use in CampDoc, if you have an account. Not your Scout’s email. CampDoc setup
- A few days laterAccept the CampDoc invitation. It comes from Pathway to the Rockies via CampDoc. Check spam if you don’t see it. How to accept it
- About six weeks before campBook the physical and fill in your part of the forms. Print the youth packet, complete the parent sections, and bring the whole packet to the doctor so it takes one visit. Health forms walkthrough · Youth packet (PDF)
- A month before campStart building the water habit. Work up to about 4 liters a day, so drinking 4 liters by 4 p.m. and 6 by 8 p.m. at camp feels normal. It’s the best defense against altitude sickness. Get ready for the altitude
- If your Scout takes medicationGet the medication forms signed. One Permission for Medication Administration form per medication, plus a Contract to Carry for a rescue inhaler or EpiPen. Medications at camp
- 14 days before your weekEverything is in CampDoc. Scouts without complete, signed forms can’t attend. Health and medications
- The week beforePack. Label everything, and pack medications in their original pharmacy bottles. Packing list
- Before you leave homeGo over the camp rules with your Scout. What not to bring, phones and Wi-Fi, and when a sick camper goes home. Camp policies · Illness policy
- If your Scout gets sickKeep them home and tell your unit leader. Illness usually gets worse at camp, not better. Illness policy

- About six weeks before campCheck CampDoc and gather unit forms. Nudge families who haven’t finished. Collect Adult Reference Forms, the YPT Aging Report, and swim records if you tested at home. Unit forms · Unit packet (PDF)
- A month before campRemind everyone to start hydrating. Youth and adults work up to about 4 liters of water a day, so 4 liters by 4 p.m. and 6 by 8 p.m. at camp feels normal. Get ready for the altitude
- 14 days before your weekEvery form is in CampDoc. For every youth and adult. Health and medications
- The week beforePlan the drive and the paperwork. Line up drivers, and bring a vehicle if you’re coming by bus. Print a paper copy of every camper’s forms and keep it with you. Pick the two adults who will meet with the Med Lodge. Packing list
- SundayCheck in. Arrive in field uniform. Your Troop Guide gives you your Med Lodge time, and you’ll pick your Saturday checkout time. Check-in and checkout
